Privacy Policy

Manna Schoolhouse Fund, LLC (“we,” “us”) runs online fundraising pages for schools and school-affiliated nonprofits. This policy explains what information we collect when you visit, create an account, or donate through one of our fundraising pages, how we use it, and who we share it with.

Our promise to donors

Your information will never be sold, harvested, or used to solicit you for future donations.

That promise covers us. It also covers the organization you donate to. Every organization that runs a campaign with us agrees in its contract not to use your information to solicit donations or for marketing, and not to sell or share it with anyone for those purposes.

Your email address stays with us. We use it to send your receipt and your annual tax summary, and to respond to you. We do not give it to the organization, with one exception that only you can turn on: if you tell us your employer may match your gift, we share your name and email address with the organization so it can follow up with you about that match, and for no other purpose. It may not use your address to ask you for donations or to market anything to you. Apart from that, our payment processor and the service providers that help us run the site, the only other people who can see it are the family of the student you supported, and only if you choose to share it with them.

1. Who we are and who you are donating to

Each fundraising page on our site is run on behalf of a specific organization, such as a parent-teacher group or school foundation (the “Organization”). The Organization’s name appears on the page. We collect donations for the Organization and pass the proceeds to it. The Organization is the charity. We are the service that runs the page.

Your account is with us, not with the Organization. It is not tied to one campaign or one school, so you can use the same account if your family participates in another campaign we host. We do not use your account information for advertising, and we do not sell or rent it.

2. Information we collect

From donors. When you make a donation, we collect:

  • Your name
  • Your email address
  • The amount and date of your donation
  • The payment method type (for example, card or bank transfer)
  • Any message you choose to leave
  • Which student, classroom, or campaign you chose to support
  • Whether you chose to cover the transaction fee
  • Your display choices: whether your name, amount, and message appear publicly, and whether to share your name and email address with the student’s family
  • Whether your employer may match your gift, and so whether to share your name and email address with the Organization for that purpose

Payment details. Your card number or bank account details are collected and processed by Stripe, Inc., our payment processor. We never see or store your full card or account number. Stripe’s handling of your payment information is governed by Stripe’s privacy policy.

From account holders. A parent or guardian who wants their child to participate creates an account with us. We collect their name and email address, and we verify the email address before the account becomes active. We use this to operate the account, to deliver each child’s donation page link, and to send messages about the campaign.

Student information. An account holder enters, about their own child, only: first name, last name, grade, classroom or teacher name, and, if they choose, one photo. We do not receive student information from any school or from the Organization. Students do not create accounts and do not enter anything on our site. We collect nothing else about students. See Section 7.

Student photos. A photo is optional. When an account holder adds one, we make a new copy of it and discard the original, which removes the location and any other hidden information the file carried. We show that copy only on the child’s donation page and to the Organization’s administrators. The account holder can remove it at any time from their account, and the Organization can remove it at any time. A photo is student information, and we keep and remove it on the same terms as the rest (Sections 7 and 8).

Automatically. Like most websites, our servers record basic technical information such as your IP address, browser type, and the pages you visit. We use this to keep the site running and secure and to prevent abuse. We do not use advertising cookies or tracking pixels.

3. How we use your information

We use donor information to:

  • Process your donation and send you a receipt on the Organization’s behalf
  • Send you an annual summary of your prior-year donations, on the Organization’s behalf, for your tax records
  • Credit your donation to the campaign, classroom, or student you selected
  • Show your gift on the student’s page according to your display choices
  • Report to the Organization on the results of its campaign
  • Respond to your questions or requests
  • If you tell us your employer may match your gift, email you the Organization’s mailing address and details for your employer’s matching check, and let the Organization know you asked
  • Detect and prevent fraud and abuse
  • Comply with legal, tax, and payment-processing requirements

We do not use your information to solicit donations or to market anything to you. The employer-match emails described above are not solicitation: they are sent only if you ask for them, once per gift, and only to help your employer match the gift you already made. We do not build profiles of donors or students.

4. Who we share your information with

The Organization running the campaign. We share your name, donation amount, date, receipt information, any message you leave, and the student or classroom you supported with the Organization. We do not share your email address with the Organization unless you tell us your employer may match your gift (see below).

The Organization may use this information to respond to your requests, such as resending a receipt or issuing a refund. It may also use it to comply with tax law, including maintaining records needed for its own tax filings or if you received something of value in exchange for your donation. It has agreed not to use your information to solicit donations or for marketing, and not to sell, rent, trade, or share it with anyone for those purposes.

The student’s family, if you choose. When you donate, you can choose to share your name and email address with the parent or guardian who created the page for the student you supported. We share only what you choose.

The Organization, if your employer may match your gift. When you donate, you can tell us your employer may match your gift. If you do, once your payment has gone through we email you the Organization’s mailing address and the details your employer will need to send a matching check, and we email the Organization your name, your email address, and your donation amount and date, and tell it that we have sent you its address. The Organization may use your email address only to follow up with you about that employer match, for example to answer a question about the match or to confirm that your employer’s check arrived. It may not use your address to ask you for another donation, to add you to a mailing list, or to market anything to you, and it may not share it with anyone for those purposes. We share it only if you ask, and only for the gift you made when you asked.

Stripe. Stripe processes payments and receives the information needed to do so.

Service providers. We use a small number of vendors to host our site, send emails, and store data. They may access information only to perform those services for us and are bound by confidentiality obligations.

Legal requirements. We may disclose information if required by law, court order, or a valid request from a government authority, or to protect the rights, safety, or property of donors, students, the Organization, or us.

We do not sell, rent, or trade your information to anyone.

5. How your gift appears

When you donate, you decide how your gift appears on the student’s page. You can show or hide your name, your amount, and your message.

These choices control what the public sees. The Organization still receives your name and donation details as described in Section 4, so it can send receipts and handle refunds.

If showing a student’s total would reveal the amount of a donor who chose to keep their amount private, we do not show that total.

6. What is public

Fundraising pages display campaign and classroom totals. A student’s page shows the student’s first and last name, their photo if their account holder added one, and the total raised for that student, subject to Section 5. It also shows each donor’s name, amount, and message only as that donor chose to display them. Your email address is never displayed publicly.

7. Students and children

Our fundraising pages are for adults to make donations. We do not knowingly collect personal information from children under 13, and students never enter information on our site.

You, not a school, decide whether your child appears on our platform. When you add a child to a campaign, you give us their first name, last name, grade, and classroom or teacher name, and you may also give us one photo of them. We use this only to create that child’s donation page and to report campaign results to the Organization. The photo appears only on that page and to the Organization’s administrators, never in a report, a receipt, or an email.

A child’s donation page is never searchable, browsable, or listed anywhere on our site. Members of the public can reach it only through the unique link we give you, which you may share with whoever you choose. The Organization’s authorized users can view all student pages in their campaign when signed in. Donation links stop working when the campaign ends.

Signed-in access is limited. You see only your own children and the donations made to them. The Organization’s authorized users see all students and donations in its campaign.

If you want your child’s information, or your account, removed, email us at the address below or make the request through the Organization. We will remove it within one business day, apart from records we must keep for tax, accounting, or payment-dispute purposes.

8. How long we keep information

We keep information only as long as we need it, and then delete it:

  • Donor names, email addresses, and anything else that identifies a donor: 1 year after the campaign ends.
  • Student information: 1 year after the campaign ends.
  • Transaction records that contain no donor or student name or contact information (amount, date, fees, and payment reference): 4 years after the campaign ends, for tax and accounting purposes.
  • Account holder accounts: until the account holder closes the account.
  • Technical logs: a short period for security purposes.

While we hold it, this information is not public. Donation links stop working when the campaign ends, student pages are never searchable or listed, and the records are visible only to you when signed in, to the Organization’s authorized users, and to our staff who need them to run the platform. You may ask us to remove your information sooner under Section 10.

9. Security

We use reasonable technical and organizational measures to protect the information we hold, including encrypted connections and access controls. Payment details are handled entirely by Stripe. No system is perfectly secure, and if we learn of unauthorized access to your information we will notify the affected Organization and, where required by law, you.

10. Your choices

You may ask us to:

  • Tell you what information we hold about you
  • Correct information that is wrong
  • Delete your information, except records we are required to keep for tax, accounting, or dispute purposes
  • Remove a student’s page

To make a request, email us at the address below. We will respond within 30 days. The Organization keeps its own copy of your name and donation details, and of your email address if you shared it for an employer match, so requests about that copy should go to the Organization.

11. Changes to this policy

If we change this policy, we will post the new version here. Changes apply going forward. If a change materially affects how we use information already collected, we will make reasonable efforts to notify the affected Organization.
